WHAT IS HUMAN RESOURCE MANAGEMENT AND WHO IS A HUMAN RESOURCE MANAGER?

Human resources managers accomplish this aim by directing the administrative functions of human resources departments.
Some companies out-source the Human Resource Management duties; therefore, HR people can work in consulting firms that offer HR services.

WHAT TASKS ARE INVOLVED IN THE WORK?
Human resources officers/managers plan, direct, and coordinate the administrative functions of an organization. They oversee the recruiting, interviewing, and hiring of new staff, consult with top executives on strategic planning and serve as a link between an organization’s management and its employees. Their work involves overseeing employee relations, securing regulatory compliance, and administering employee-related services such as payroll, training, and benefits. They supervise the department’s specialists and support staff and make sure that tasks are completed accurately and on time.
Human resources officer/managers also consult with top executives regarding the organization’s strategic planning and talent management issues. They identify ways to maximize the value of the organization’s employees and ensure that they are used as efficiently as possible. For example, they might assess worker productivity and recommend changes to the organization’s structure to help the organization meet budgetary goals.
Some human resources officers/managers oversee all aspects of an organization’s human resources department, including the compensation and benefits program and the training and development program.

WHAT IS THE WORK SCHEDULE OF A HUMAN RESOURCE MANAGER?
They work in offices and most work full time during regular business hours. Some must travel to attend professional meetings or to recruit employees. Most human resources managers work full time during regular business hours, they typically follow the normal 08hrs to 17hrs work schedule Monday to Friday.

WHAT DOES THE JOB MARKET LOOK LIKE?
Employment of human resources managers is growing every day and faster than the average for all occupations. As new companies form and organizations expand their operations, they will need human resources managers to oversee and administer their programs and to ensure that firms adhere to changing and complex employment laws. Strong competition can be expected for most positions.
The largest employers of human resources managers are as follows, the private sector employs more of the Human Resource managers for Management of companies and enterprises, as well as to handle technical services. The public sector is the second largest employer, all Zambian Government departments and agencies need Human Resource managers. Although job opportunities are expected to vary with the staffing needs of individual companies, strong competition can be expected for most positions. Graduates with certification of bachelor’s degree or a master’s degree, particularly those with a concentration in human resources management should have the best job prospects.
Although certification is voluntary, it can show professional expertise and credibility, and it may enhance advancement opportunities. Many employers prefer to hire certified candidates, and some positions may require certification with The Zambia Institute of Human Resource Management (ZIHRM). This is a professional organization established through an Act of Parliament No. 11 of 1997.

Three “O” level credits with a Diploma in Human resource management from a tertiary institution recognized by the University is allowed to enter.

Human resources managers usually need a bachelor’s or master’s degree. Candidates may earn a bachelor’s degree in human resources or in another field, such as finance, business management, education, or information technology. Courses in subjects such as conflict management, Business administration and Labor relations or industrial psychology may be helpful. But typically a Zambian Human Recourse Manager needs to have a degree in Human Resource Management.

WHAT ARE THE FUTURE ADVANCED QUALIFICATIONS AVAILABLE AND WHY?
Once you study Human Resource, you may decide to pursue a master’s degree in Business and Human Resource Management, or Business Administration or labour relations or Public administration. A master’s degree gives you an upper hand when it comes to finding new jobs in competitive environments especially abroad. It’s a sign that apart from general skills, you have taken keen interest to master one area of your job more than other people. With a master’s degree one would become a university lecturer as well.
The reason you need to advance your qualifications is because, the workforce is becoming more diverse every day. Hence the need to advance your career for increased retention rate, a higher retention rate is beneficial to the organization because it reduces the cost of hiring.
Some organizations need a combination of education and several years of related work experience to become a human resources manager. Transport and logisticians can work in government under ministry of works and supply, national planning and infrastructure development and ministry of communication and transport, where they are responsible for maintaining and developing nation’s transportation and infrastructure system. Also they can work in manufacturing industry where they are strongly involved in order-processing, purchases, production plans and schedules and so on,
They can also work in management of companies and enterprises where they are responsible for essential service of linking a company to its suppliers and customer. E.g. Synite Quarries Zambia, Mercury Lines Limited, PEP stores, etc. they also work in non-governmental organisations like Zambia Evidence for Health (E4H) Activity and John Snow Zambia where they are responsible for assisting in logistics and procurements for the Projects.

Most of the tasks for transport and logistics are similar regardless of where one is working, if tasks differ then the difference is not that big. Their day to day tasks include: Allocating and recording resources and movements on the transport planning system. Ensuring all partners in the supply chain are working effectively and efficiently to ensure smooth operations. Communicating effectively with clients and responding to their requirements. Booking sub-contractors and ensuring they deliver within agreed terms. Directing all transportation activities, Developing transportation relationships, Monitoring transport costs. Negotiating and bargaining transportation prices. Dealing with the effects of congestion. Confronting climate change issues by implementing transport strategies and monitoring an organisation’s carbon footprint
The Logistics Officer can also perform the tasks in the Finance & Administration Team, tasks such as liaising with technical staff regarding procurement of goods and services. Planning routes and load scheduling for multi-drop deliveries. Booking in deliveries and liaising with customers, among other tasks.

Their work schedule more often than usual involves traveling when occasionally required, though not a regular feature of the working day. Their working hours are so flexible to meet the needs of the business. Long working hours and possibly shifts including working on the weekends are common in this profession. Purchasing and supply is a field of study that involves the procurement, storage, and monitoring of goods sold in a retail store, machinery, supplies, or other raw goods.

A person who studied Purchasing and Supply at certificate, diploma or degree level is sometimes called a procurement officer. Procurement officers oversee the activities of the department responsible for purchases.

WHERE DO PURCHASING AND SUPPLY OFFICERS WORK?

Procurement officers can work for any business cooperation like ZESCO LIMITED, RTSA and National Prosecution Authority (NPA). Government departments as well as  non-governmental organisations can employ procurement officers to involve them  in negotiating with manufacturers/suppliers or wholesalers in the process of buying goods or materials, as well as in working closely with cost analysts and marketing professionals in deciding which products to buy and which ones are not selling well enough.

WHAT TASKS ARE INVOLVED IN THE WORK?

For procurement officers who work at National Procurement Authority and other government departments, their day to day job involves undertaking timely storage of goods in order to avoid loss and destruction, maintaining accurately an up-to-date Register of Supplies in order to establish a reliable supplier base. Preparing and undertaking effectively the provision of secretarial services to the companies Tender Committees in order to facilitate decision making. Preparing timely and accurately bidding documents in order to facilitate decision making. Supervising effectively the procurement of goods, services and works in order to ensure their timely availability.

In other private companies and non-governmental organizations the duties include; Developing and implementing systems and processes that ensure full and complete documentation of receipt and distribution of procured goods, maintaining correspondence and constant contact with suppliers to follow up on the execution of contractual terms and conditions as well as handle issues if needed. Monitoring and reporting on supplier performance, noting current and potential issues or inefficiencies and assist with contract/purchase order modifications. Accountable for transparency within the procurement department through ensuring a complete, accurate and up-to-date document trail of all procurement processes, vendor files, procurement and inventory database to assist with control and accountability and Liaising with counterparts at partner organizations to ensure effective and efficient collaboration on all matters related to procurement, including when space and resources are shared among other duties. The procurement officers or purchasing and supply officers perform the same kind of tasks wherever they work, be it in public or private offices.

WHAT IS THE WORK SCHEDULE OF A PURCHASING AND SUPPLY OFFICER?

The work schedule or shifts of a procurement officer/purchasing and supply officer depends on the organisation one is working for. If one is working for a government department, they typically follow the normal 08hrs to 17hrs work schedule Monday to Friday. If one is working for a private company some mines they work 08hrs to 17hrs while others have some procurement officers who have to work in the night shifts to monitor the procurement process to ensure transparency in the products being delivered in the night.

WHAT DOES THE JOB MARKET LOOK LIKE?

In the case of Zambia, the biggest employing sector of purchasing and supply officers is the public sector followed by the private sector. A procurement officer can find a job in any sector be it in mining, agriculture, manufacturing etc. All forms of companies continue to look for procurement officers. The chances are higher that one will find a job just upon graduating.

The job market for purchasing and supply officers/ procurement officers in Zambia is very stable. In everyday job adverts there is a company looking for a procurement officer and as more business entities keep on opening in Zambia the more the demand for procurement officers increases.

To enjoy being a procurement officer, you need to be a person who is able to demonstrate the ability to achieve goals and meet deadlines in a fast-paced environment, good writing skills and you should have emotional maturity, patience and the ability to remain calm in stressful situations. You also need to have good analytical skills with ability to make independent judgment and decisions as well as being proactive, results-oriented and able to find ways of solving or pre-empting problems. WHAT TASKS ARE INVOLVED IN THE WORK?

Insurance and pension managers perform common tasks in all companies they work for. The main task is to manage a pension fund, a large pot of money paid in by companies and individuals over many years to provide benefits in retirement. You may coordinate schemes that are managed by a company or employer, a benefits consultancy, a public sector pension’s provider or an insurance company. You might also be involved in the strategic development of schemes, developing new schemes or managing related funds. All the tasks you perform will be to satisfy the target audience.

WHAT IS THE WORK SCHEDULE OF AN INSURANCE AND PENSION MANAGER?

You’ll usually work from 8am to 5pm, Monday to Friday. However, you may work extra hours occasionally – to attend evening meetings, for example. Insurance companies typically remain closed on weekends and public holidays.

The common working hours of the pensions and insurance companies in Zambia are-:

08.00 hours – 1300 hours       Morning

  1. OO hours – 14.00 hours Lunch

14.00 hours – 17.00 hours      Afternoon

Any hours beyond this is considered as overtime for all unionized employees.

WHAT DOES THE JOB MARKET LOOK LIKE?

There are good career prospects for Insurance and Pension Managers, although pensions departments within companies in Zambia are often small and you may need to change employers to progress. With experience, pension scheme managers can manage larger departments or schemes, moving eventually into roles such as deputy head of pensions and, ultimately, director or head of pensions. You can also move into related areas such as insurance or actuarial work or specialise in the area of pension management. There are also opportunities to work freelance or self-employed as a pension’s consultant.

Experienced pension’s professionals can work on a consultancy basis. The job may be challenging due to the level of responsibility and demands of working at a high-profile level in a fast-developing industry. You won’t usually need to travel or stay away from home overnight. However, if you’re working for a company with locations throughout the country, you may need to travel to attend meetings or meet with trustees and fund beneficiaries.

It’s also easy to find internships or work placements or try to get work as a pension’s administrator while in your final year of study. And the degree can earn you a job that is not even relate to pension and insurance in any company or government.

To enjoy this career, You’ll need to have excellent interpersonal and relationship management skills, strong communication skills, both written and verbal, analytical skills and the ability to interpret and pass on complex information, strong influencing and negotiation skills, a good level of numeracy and IT literacy, the ability to lead and motivate a team, good judgement and decision-making skills, organisation, planning and time management skills, meticulous attention to detail, the ability to work well under pressure, common sense and personal integrity.
